Manage Client Population
Definitions and instructions related to making changes to your organization’s client population and subsequent associations within the Minnesota Immunization Information Connection (MIIC).
Client population
Your client population is all clients associated with (linked to) your organization in MIIC. Clients that are part of your client population will automatically be included in your organization’s MIIC assessment and client follow-up reports.
Having an accurate client population in MIIC increases the accuracy of your MIIC reports. Managing your client population in MIIC also supports public health activities.
Client associations
- Reporting client and/or immunization information to MIIC will associate with or link that client to your organization. You can also manually add a client to your organization’s client population.
- If a client has moved or established care elsewhere, you can inactivate (or unlink) that client from your organization. Clients can be inactivated one-by-one or through mass inactivation.
- To re-associate (or relink) the client to your organization again you will need to manually update their status in MIIC or update their record with new demographic or immunization information.

Inactivating clients
Clients should only be inactivated by your organization after you have confirmed they have moved away or have established care with another provider. If the client has moved, update their contact information in MIIC before inactivating them.
Clients who are inactivated will not be included in assessment reports or client follow-up reports beginning the next day.
Mass inactivation
Mass inactivation is when you have several clients who have moved or established care elsewhere, it can be helpful to inactivate several clients at once instead of manually inactivating individual clients.
The list-based feature of the Client Follow-up function can be used for mass inactivation. To get started, create a list in MIIC of clients that are no longer active within your organization.
- Create a Client Follow-up from that list.
- Choose All Clients Regardless of Vaccination Status as the Follow-up Type.
- Once you are viewing the list of clients, click on the Select All button at the bottom of the screen to select all clients in the list.
- Select the Not Our Client button at the bottom of the screen. Only select this if you are certain that the clients are no longer a client at your organization.
- Review the warning message and select the OK button. There will no longer be any clients listed in the follow-up.
