How to search, manage, and create client records in the Minnesota Immunization Information Connection (MIIC).
Client search
To search for a client record, select one of the following options: Manage Client, Find Client, or View Client Report. The option available to you depends on your assigned user role.
Enter Client Search Criteria on the search screen. You will need to search by a minimum of two fields, except when searching by the MIIC ID. The MIIC ID is a unique identifier assigned to every client record.
When searching with last name, you should enter at least three characters, or the search may only return records with last names that are two characters long. When searching, some results that may appear are:
- Match to one record. If only one client in MIIC matches the criteria, the client information and immunizations screen open automatically.
- Multiple possible client matches. A list of possible matches will display if there is more than one potential match. You can click on the underlined last name to go to the client information and immunizations screen.
- Your search found too many results. A message will be displayed. Refine your search criteria or add additional criteria to narrow the search.
- No clients were found with the requested search criteria. A message will be displayed. Broaden your search criteria or consider searching by an alternate spelling or previous name (e.g., search for John instead of Jonathan) or previous last name.
Some results have a checkmark in the ‘AKA’ column. When a client’s name or date of birth is updated in MIIC an alias or ‘AKA’ is created. Clients listed with a nickname, misspelled name, former name, or incorrect date of birth will show as a separate match or alias, as indicated by a checkmark in the ‘AKA’ column. Choosing either option will bring you to the same client profile.

Once you have selected a client to view their record, confirm you are viewing the correct client record by verifying the following:
- First name (legal or nickname; current or former)
- Last name (current or former)
- Date of birth
You are recommended to verify at least one additional piece of information, such as:
- Middle name
- Address (current or former)
- Phone number (current or former)
- Email address (current or former)
Manage client information
All authorized users can view client information in MIIC. Users with certain roles or organization types may also edit client information.
Once you have verified that the record is a match for your client, update the client’s name, address, phone number, and other demographic information with any current information you have. A client’s birth date may not be editable if there is a birth certificate associated with the record. Contact the MIIC Help Desk if you are unable to update an incorrect birth date in MIIC.
Updating certain fields, such as name and birth date, will create an alias, or AKA, for your client. An alias is presented on the search results screen by a checkmark in the AKA column. An AKA is not a duplicate record, rather it allows you to search for a client using previously reported name or date of birth name while still bringing you to the client’s current MIIC record.
If the address you have on file for a client is undeliverable, check the Undeliverable Address box. Do not replace the address with needs update, bad address, undeliverable, or anything else that is not street address information. Leave the details of the undeliverable address instead of deleting it from MIIC. Keeping the historical address allows another point to verify the client’s record before updating with the current address.
If the phone number you have on file for a client is no longer valid, delete it from MIIC. Do not enter a fake phone number, such as all 9s or all 0s.
Once you have updated the information, click the Save button at the top right of the screen. This will update your client's record. The Client Updated text will appear next to the Personal Information header once the changes have been successfully saved.
Additional client information is located within the three tabs below the client’s demographic information: Client Information, Address(es)/Contact(s), and Client Comments(s). You can click on each tab to see what information MIIC has and update information where applicable.
Client information
This tab displays information specific to your organization. The chart number field contains the unique identifier specific to your organization. The status field notes the client’s association with your organization.
- Active: The client is considered an active client of your organization. Their immunization status will be considered when generating Immunization Assessment reports and Client Follow-up cohorts.
- Inactive: The client is not considered a client of your organization.
- Deceased: The client is deceased. Selecting this status will flag the record as deceased and no organizations in MIIC will be able to view it.
The Allow Reminder and Recall Contact? field indicates if a client has consented to receive communication from provider organizations, including public health agencies, when they are due for recommended vaccinations.
The Allow Sharing of immunization data? field indicates if a client has consented to other organizations viewing their record if the client is seeking services from another MIIC-participating provider. If your client requests only your organization access their MIIC record, change this field to No to lock the record to your organization.
Click the Save button on the top right of the screen to save your changes. The Client Updated text will appear next to the Personal Information header once the changes are saved successfully.
Address(es) and contact(s)
This section contains contacts for the clients. Only four contacts will be displayed in MIIC. More can be added, but will not be visible in MIIC. To edit a contact, select the radio button to the left of the contact’s name.
- Update the contact information.
- Select the Next button to the right of the contact list, then select the Save button on the top right of the screen to save your changes. The Client Updated text will appear next to the Personal Information header once the changes are saved successfully.
- To add a contact, select the New button to the right of the contact list. Enter the contact information.
- Select the Next button to the right of the contact list, then select the Save button on the top right of the screen to save your changes. The Client Updated text will appear next to the Personal Information header once the changes are saved successfully.
- To delete a contact, select the radio button to the left of the contact’s name.
- Select the Delete button to the right of the contact list, then select the Save button on the top right of the screen to save your changes. The Client Updated text will appear next to the Personal Information header once the changes are saved successfully.
This section allows you to view and edit immunization-related comments, such as immunity by titer/history of disease, medical exemptions, and/or refusals. Information displayed here will also be displayed on the client’s immunization history screen. To add a new comment, select the New button to the right of the Client Comment Listing.
- Choose the appropriate comment from the Client Comment drop-down menu and enter the Applies To Date, such as the date the titer was drawn or the date the client refused an immunization.
- Select the Next button to add another client comment, if applicable.
- Once you have finished entering new comments, select the Save button on the top right of the screen to save your changes. The Client Updated text will appear next to the Personal Information header once the changes are saved successfully.
- To delete a comment, select the radio button to the left of the comment you’d like to delete.
- Select the Delete button to the right of the comments, then select the Save button on the top right of the screen to save your changes. The Client Updated text will appear next to the Personal Information header once the changes are saved successfully.
Create new client records
- Select Enter New Client under Routine Functions in the left-hand navigation window.
- Enter as much information about the client as you have. At minimum, you must enter last name, first name, and date of birth. Select the Save button. A Client Updated message will display at the top of the screen to confirm the record was created.
- If you did not enter mother’s maiden last name or mother’s first name, you will receive a message encouraging to add the information, if known. For now, click the OK button.
- MIIC will attempt to find an existing record based on the information you entered. If a screen pops up indicating Client Match Detected, verify that the client is not already in MIIC. If the client is shown in the list, click on the last name underlined in blue to navigate to the existing record. The data you entered will not be saved. If the client is not shown in the list, click on the Create New Client button to save the client you just entered.
Note that not all user roles can create new client records.
